Summary:
Hands-on position working supporting JASA’s critical mission to sustain and enrich the lives of the aging in the New York metropolitan area. Administers JASA’s employee benefits for approximately 700 staff members, ensuring accuracy in eligibility, enrollments, changes, etc. Oversees full cycle of absences/leaves, including Disability and Workers Compensation claims. Position requires significant interaction with Finance Department, JASA managers, staff and benefits vendors. Must be computer-literate and possess excellent organizational, interpersonal, and communication skills. JASA is a multi-union environment. This position is currently a hybrid remote and in-office role.
Primary Duties and Responsibilities:
● With vendor assistance, processes benefits transactions – enrollments, changes, and terminations
● Administers benefits open enrollment processes (including correspondence with employees regarding changes, etc.)
● Processes all phases of COBRA through vendor
● Administers bi-annual Pension Enrollment process for union members and annual
reminder to union members that previously waved participation
● In conjunction with vendor, processes annual 5500 audit requests
● Ensures that all ACA forms (1095’s) for employee and employer are properly filed and
distributed annually
● Calculates, prepares and implements benefits-related payroll changes
● Oversees staff member leave eligibility and status — processing, tracking, and
administering claims for Workers Compensation, FMLA, NY Paid Family Leave, NY State
Disability, Jury Duty, Sick Leave, Bereavement, ADAAA-related, etc.
● Provides benefits-related information to staff – one-on-one; at monthly group New Hire
Orientations; by phone; via email
● Participates in developing and presenting benefit information at New Hire Orientations
● Generates employee information reports
● Advises department managers and staff members regarding employee-related issues and
JASA policy and procedures
● Interacts with Finance Department and benefits carriers regarding claims and billing issues;
significant interaction with Payroll staff
Secondary Duties and Responsibilities:
● Codes and records invoices, prepares check requests and forwards payments to vendors
● Assists in calculating monthly costs, compiling updated information and preparing check
requests for monthly premium payments to JASA insurance carriers
● Files all relevant medial or benefit related materials in employee’s medical file
● Pulls relevant information for various audits on an as needed basis.
● Performs other tasks as assigned
Requirements:
● Bachelor’s degree in Human Resources, Business Administration, or related field
● 3+ years’ benefits administration experience
● Union and/or not-for-profit experience helpful
● Must be computer-literate, with comprehensive knowledge of current Microsoft
Office Suite (Excel, Word, etc.) and Google software
● Knowledge of HRIS system software, with the ability to produce reports and
enter/update employee data; ADP experience preferred
● Excellent interpersonal skills
● Well-developed organizational, analytical, and follow-up skills
● Excellent English communication skills, both verbal and written; additional
languages helpful
● Must be able to multi-task in fast-paced environment with high degree of
accuracy
● Must maintain confidentiality at all times
